SECTION 2: BASIC GABI FUNCTION


INSTALLING GABI

GABI Computer / Software Requirements

The chart shown above displays the computer and software requirements for installing GABI onto your computer. If your computer meets all of the requirements, you are ready to install GABI. Be certain to close all other Windows applications before beginning GABI installation. The GABI software is updated periodically to include new features and bug fixes. Visit the website often (http://www.acfgabi.com) to ensure that you have the latest version. After you install GABI, you will find a readme.txt file in the GABI folder. This file lists all the changes for the version you have installed. Version history can also be found on the website.

INSTALLING WITH CD

  1. Insert the CD into the drive. GABI Installation Setup should automatically launch.
    (If the GABI Setup window doesn't automatically launch, go to "My Computer" icon on your desktop and open your CD Drive. Double-Click on the SETUP.EXE - there will be several files called "Setup" but only one is an executable - it has a little, blue computer icon next to it.)


  2. The first screen is the Welcome screen. Once you have reviewed the information on the screen, click the "Next" button to go to the "Choose Destination Location" screen.


  3. The "Choose Destination Location" screen allows you to indicate where you would like the GABI program to be located. The default setting is set to C:\GABI. Click the "Next" button to go to the "Type of Setup" screen.


  4. The "Type of Setup" screen allows you to indicate Typical, Compact, or Custom setup. The default setup is set to Typical, the default drive is set to C:\GABI. Click on the "Next" button to proceed.

    Please Note: If you would like to install GABI to a network drive or a folder other than the default, click on the Browse button and use the Drives and Directories option to indicate where you would like the program to be installed. For instructions on installing on a LAN, follow steps in the Installing on a LAN section of this manual.


  5. The "Select Program Folder" screen shows you the name of the default program folder. To accept the default, click on the "Next" button to open the "Start Copying Files" screen.


  6. The "Start Copying Files" screen will display the location where the GABI program will be installed. To begin copying files, click on the "Next" button.


  7. Once the installation is completed, the Installation program will prompt you to restart your PC. Choose "Yes" to restart the machine, then click the "Finish" button. Your machine will restart automatically.


  8. GABI is now installed on your computer. To open GABI, from the main menu of Windows select Start > Programs > GABI > GABI. You may also set up a shortcut to GABI by right-clicking on the word GABI and selecting Send To Desktop as Shortcut.

INSTALLING THROUGH THE INTERNET

  1. Navigate to the "Download GABI Software and Manual" webpage and follow the installation instructions according to the version of GABI software currently installed on your computer.

INSTALLING ON A LAN

To install GABI on your LAN complete the following steps:

  1. Run the GABI installation on one of the workstations with access to the network drive. To do this follow the steps listed above for installing GABI on a standalone PC. When asked during the installation process to select the Destination Directory, browse or type in the network path (e.g., G:\GABI).


  2. After installing GABI, Use the BDE Administrator: Go to Start > Settings > Control Panel > BDE Administrator. (If you are having trouble locating the BDE Administrator, go to Start > Find > File > BDE Administrator.)
  3. a). In the BDE, go to the Configuration Tab, Open Drivers by double clicking on it, double click on Native, click on PARADOX. Make certain that the path listed next to NET DIR (located in the right window) is set to the network directory (e.g., G:\GABI\Data).

    b). Also in the Configuration Tab, open System and INIT and set the "LOCAL SHARE" to "TRUE."

    c). Then click on the Database Tab in the BDE Administrator. Click on "GABI" and change the Path: to the GABI Data directory (e.g.; G:\GABI\Data).

    Please Note: If you are unable to edit the path, right-click on "GABI" in the Database Tab and click on "Open Configuration." Then select "IDAPI32.CFG" and click on "OPEN." Repeat steps outlined in 2c. above.

  4. Go to each workstation and install GABI to local C:\ Drive.

  5. At each workstation, adjust the BDE Administrator setting by following directions in Step 2 above. Also make sure that all GABI users have read/write/delete access to the GABI folder on the network drive (e.g., G:\GABI) and full rights to "PDOXUSRS.NET" file in the root directory of the network path.
  • Note to Users: Once GABI is installed on a LAN, the software application is accessible to multiple users. However, multiple users should not work on the same section of the same application at the same time.

OPENING GABI

If you have set up a shortcut for GABI, there are two basic ways to open the program:

1. Double-click on the GABI icon, or
2. Click Start > Programs > GABI > GABI
* To create a shortcut, see Step "7" in the section for "Installing Software from CD."

MAIN MENU

If you have followed the instructions above, you should now be in the main screen of GABI. The GABI main screen works just like any other Windows-based program. Simply use your mouse to click on the menu you want to open.

ENTERING GRANT APPLICATION DATA

This section will cover how to enter grant application data in three different modes. The first is entering new grant application data, the second is opening existing data to be modified, and the final mode is importing backed-up grant application information.

Creating A New Grant Application

In order to enter new grant information, a new record must be created where the information will be stored. To enter a new grant application:

  1. From the main screen choose File > New Grant Application. This will place you in the New Grant Application window.

  2. Select the fiscal year by clicking on the arrow to the right of the fiscal year field and selecting from the list of choices provided.


  3. Left-click in the Grant Number box and type in the grant number. The number must be in the form of a two digit region number followed by a two letter code and then the four digit grant number. If the grant application is for a delegate, move to Delegate ID and input the delegate ID.


  4. Enter the Agency name in the field provided.


  5. Select Grant Type from the pull-down menu provided: Basic HS Grant Application, Basic EHS Grant Application, Basic Migrant and Seasonal Grant Application, Supplemental HS Grant Application, Supplemental EHS Grant Application, Supplemental Migrant and Seasonal Grant Application, Expansion HS Grant Application, Expansion EHS Grant Application and Expansion Migrant and Seasonal Grant Application.
    If your region requires a separate budget and/or SF424 forms for the COLA or Quality Improvement funding, enter that as a supplemental application and specify the application type in the Purpose field.


  6. If you wish, include a brief purpose in the Purpose field.


  7. Click "OK" to save this information as a new grant record.

Migrant and Seasonal Grant Applications

Migrant and Seasonal Head Start grantees modify service delivery to meet the specific needs of migrant and seasonal farm-worker families. The Migrant and Seasonal Head Start program has a unique emphasis on serving infants and toddlers as well as pre-school age children. Centers often provide extended day services, usually up to 12 hours a day and up to 7 days a week during the height of the harvest season. Some grantees open and operate centers for as little as six weeks. Because of these modifications, GABI has an additional application type for Migrant and Seasonal applications. All of the standard warning messages relating to program schedules that are not applicable to Migrant and Seasonal programs are disabled.

On the New Grant Application page, select "Basic Migrant and Seasonal Grant Application," "Supplemental Migrant and Seasonal Grant Application" or "Expansion Migrant and Seasonal Grant Application"

Opening an Existing Grant Application

Once you have entered a new grant and saved it, you may open it to review, modify, or to add data.

  1. From the main screen choose File > Select Grant Application. This will place you in the Select Grant Application screen. (It is also possible to create a new grant application from this screen by clicking on the New button at the bottom right of the screen. This will take you to the New Grant Application screen).


  2. Double-click on the grant application that you want to open from the list in the top half of the screen.


  3. You can now input data for the grant application that you have opened.

GABI Data

When you save information in GABI, the program creates several data files and saves them in the "Data" folder in the directory where GABI is installed. You can make a copy of the GABI data by exporting applications into a folder on the hard drive, or saving them to a floppy drive or CD. Exported GABI files cannot be viewed in any program other than GABI. Therefore, it is not possible to open GABI files by double-clicking on the file names in Windows Explorer or My Computer. See Section 5 of this manual for more information on importing and exporting data files.
